App Install Governance

What’s changed?
New support for app approvals by Teams and expanded app coverage to most HubSpot Built apps.

 

What is it?

Super Admins now have centralized control over which apps can be installed in their HubSpot account and what data can be shared with them — including controls over AI connectors like the HubSpot connectors for ChatGPT, Claude, and Gemini.

With this beta, Super Admins can:

  • - Approve which apps are allowed in the account
  • - Control which users and teams can install each app
  • - Customize optional data permissions available to each app, such as read-only vs. write access
  • - Revoke approval at any time

 

Why does it matter?

This update ensures apps can be adopted intentionally, with the right oversight.

As your team adopts more apps — and especially AI-powered apps — it gets harder to track what's installed, who has access, and what data is being shared. App Install Governance gives admins a single place to stay in control.

This feature gives you stronger oversight by allowing you to review and approve apps before they’re installed. It enables controlled data access by letting you decide which optional permissions are granted to each connector. And it gives you flexible user management, so you can limit installation to admins, specific users and teams, or open access to all users.

If priorities shift, you remain in control. You can uninstall an app by revoking approval for specific users and teams or revoking it across the entire account.

This allows your organization to move faster with apps while maintaining the security and compliance standards your business requires.

 

How does it work?

Super Admins manage app access from their account Settings > Integrations > Connected Apps, under the Approved apps tab. From there, you can review available connectors and approve the ones you want your organization to use.

During approval, you decide who can install the app. You can keep access limited to Super Admins and authorized installers, extend it to specific users and teams, or allow installation for everyone in your account. For apps that support it — including all AI connectors — you'll also review data permissions as part of the setup process. Required permissions cannot be disabled, but you can enable or restrict optional data permissions

Users who want access to an unapproved app can submit a request directly from within HubSpot. Super Admins will receive these requests as user notifications that they can approve.

Once approved, the app appears in your Approved Apps table, where you can monitor usage and make changes at any time. You can adjust installation permissions, update optional data permissions, uninstall the app for individual users and, or revoke approval entirely. If approval is revoked, the app is automatically uninstalled for all users. NOTE - uninstalls take up to 30 minutes to take effect.

Only Super Admins can approve apps, manage permissions, or revoke access. Some HubSpot-built integrations aren’t supported yet by this feature, including data sync integrations, inbox integrations (e.g., Gmail and Outlook), and other HubSpot-developed apps.
