Capture Buyer Details from Quotes

What is it?

You can add the following information to a quote and allow buyers to edit the information before accepting the quote:

  • Purchase Order #
  • Buyer Tax ID #
  • Buyer Company Name and Address
  • Billing Contact
  • Billing Address
  • Billing Company

Once the buyer accepts the quote, these fields cannot be edited by the buyer.

Why does it matter?

Previously, you had to collect billing information from buyers outside of the quoting process. This fragmented approach caused sales teams to waste time chasing down data, specifically billing information, purchase order numbers, and tax IDs, which are needed to ensure accurate billing.

How does it work?

PO Number

  • Open a quote in the editor
  • Click on the "Header" section
  • Toggle on PO # and type in number if known
  • Check the "Allow buyer to edit PO number" checkbox to enable the "edit" button for buyers to add/edit the PO number
  • Change the label name (the label that displays to buyers)

PO Number is stored on the individual quote as a quote property.

Buyer Tax ID

  • Open a quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Click "Add tax ID" if a buyer tax ID is known
  • Toggle "Allow buyer to edit tax IDs" to enable the "edit" button for buyers to add/edit tax IDs

Tax ID is stored on the individual quote as a quote property.

Note: There is a maximum of 3 tax IDs per quote.

Buyer Company

If you add a company, but want the buyer to edit/update the information, you can:

  • Open the quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Toggle "Allow buyer to edit company address"

The buyer will be able to make edits to the company record address, but not the company name. Any edits will be saved to the company record in the CRM.

Buyer view

If a user leaves the company blank and wants the buyer to add a company, they can..

  • Open the quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Toggle "Allow buyer to add company"

The buyer will be able to add a new company name and address. This will be saved as a new company record in the CRM.

Seller configuration

Billing Contact

  • Open a quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Click "Add billing contact" and select a contact or create a new one
  • Toggle "Let buyers update billing info" to enable the "edit" button for buyers to add/edit Billing Contact (as well as Billing Address and Billing Company)

Billing Contact is stored as a contact record in the CRM and is associated with the Quote and Deal.

Billing Address

  • Open a quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Click "Edit address" under "Billing address"
  • Toggle "Let buyers update billing info" to enable the "edit" button for buyers to add/edit Billing Address (as well as Billing Contact and Billing Company)

Billing Address is stored on the quote as a quote property.

Billing Company

  • Open a quote in the editor
  • Click on the Seller/Buyer "Parties" section
  • Click "Add billing company" and select a company or create a new one
  • Toggle "Let buyers update billing info" to enable the "edit" button for buyers to add/edit Billing Company (as well as Billing Address and Billing Contact)

Billing Company is stored as a company record in the CRM and is associated with the Quote and Deal. The billing details will not show up on the PDF version of the quote.
