Request changes and approval stages for content approvals

What is it?

Approvers can now request changes on marketing emails, landing pages, website pages and blog posts. When they do, the approval moves to a new Changes requested status with their note attached. You can also set up approvals in stages, so each group of approvers reviews in order.

Why does it matter?

Until now, asking for edits meant leaving a comment while the approval stayed Pending, so it wasn't always clear who needed to act next. Now the status shows when changes are needed, the note explains what to fix, and you can tell the approver when the content is ready for another look.

Stages help when reviews need to happen in a set order, like an editor first and then legal. Approvers in a later stage aren't asked to review until the stage before them is complete.

How does it work?

Request approval in stages

  1. In the content editor, click Request approval.
  2. Under Approval process, add approvers to Stage 1. To add another stage, click the + icon below the last stage. Each stage must be completed before the next one begins.
  3. Under This asset needs approval from, select All approvers or One approver per stage. Your choice applies to every stage.
  4. Add a due date and a request note if you'd like, then click Request approval.

Only Stage 1 approvers are notified at first. When a stage is complete, approvers in the next stage are notified.

Approve or request changes

  1. Open the content from your notification, or click View approval in the editor.
  2. Click Approve or Request changes under your name in the approval sidebar. To request changes, add a message describing what needs to change. The message is required and is included in the requester's notification.

Make the changes and ask for another review

  1. Click View approval to read the approver's note under their name.
  2. Make your edits.
  3. Under the approver's name, click Ask to review again.

The approver is notified. Once everyone who requested changes has been asked to review again, the approval goes back to Pending. Approvals already given stay in place.

Manage an approval in progress

  • - Reassign approvers and Cancel approval are now in the More menu at the top of the approval sidebar.
  • - When reassigning, you can add approvers or stages and reorder stages that haven't started. You can't change approvers who have already approved, or add a stage before one that's already started.
  • - The approval's history is on the Activity tab.

Good to know

  • - An approval can have up to 10 stages and up to 10 approvers in total.
  • - Each stage needs at least one approver.
  • - With One approver per stage, a stage is complete as soon as one approver in it approves.
  • - Request changes and approval stages aren't available yet for landing pages in the new editor (beta).
