Sync Microsoft Teams Meeting Recording and Transcripts to HubSpot

What is it?

You can now use the Microsoft Teams integration to sync your organization's Microsoft Teams meeting data to HubSpot.

You can now:

  • Automatically sync Microsoft Teams-generated meeting recordings and transcripts to HubSpot for playback and archiving purposes
  • Sync participant data to contact records and create new contacts for non-CRM attendees
  • Access a full list of a team's meetings in the call index and filter by object properties
  • Quickly preview calls on associated records

You can also use conversation intelligence with your Microsoft Teams meetings, allowing further meeting analysis like reviewing tracked terms, viewing AI-generated call summaries, adding recordings to playlists for coaching, viewing call stats, adding inline comments to transcripts, and more.

Why does it matter?

This integration bridges a key gap between your Microsoft Teams meetings and your HubSpot data. By unifying your meeting information in one place, you eliminate data silos and ensure no customer interaction goes untracked. Now your sales and service teams gain greater visibility into customer conversations, equipping them with the context and insights needed to sell more effectively and nurture stronger customer relationships.

How does it work?

Within the Microsoft Teams integration settings, you will see a Meetings tab. Within these settings, administrators will see a Global Settings tab from which they can manage account-wide meetings settings including permissions, a global sync toggle, exclusions, and individual user settings.

All users have the ability to control their own meeting sync settings via the My Settings tab for meetings they organize.

Here, users can also search for specific historic meetings to sync.

Once settings have been configured, any meetings that sync to HubSpot will generate a call record in HubSpot, which can be viewed in the Call Index.

Clicking into this record will show the video recording and transcript data. Users with access to conversation intelligence will also have access to additional features, like the insights/stats tabs, and AI-generated meeting summaries.

In addition, meeting activity will auto-log to contact pages of meeting attendees. If a meeting attendee is not already recorded in HubSpot, a corresponding contact record will be created.

Who gets it?

  • All HubSpot customers with compatible M365 Business plans or Teams Premium licenses can sync Microsoft Teams meeting recording and transcripts to HubSpot.
  • To use HubSpot's conversation intelligence features with synced Microsoft Teams meetings, users must have a Sales Hub or Service Hub Professional or Enterprise seat. Learn more here.
  • In addition, this feature is only available to Microsoft Teams integration users whose admins have installed the integration using the 'Full Install' option.
