Team Email signature Improvements

What’s changed?
This update now includes functionality from previously-separate updates, including 1) the team signature is now visible while editing a message in Inbox and Help Desk 2) more options for personalizing the signature.

 

What is it?

Team email signatures are now more visible, more personal, and more flexible across CRM, Inbox, and Help Desk. You can preview your signature before sending, personalize it with richer details like profile picture and meeting links, and choose between your personal and team signature when sending.

 

Why does it matter?

Previously, signatures were inconsistent and hard to control. You couldn't always see what signature would be sent, team signatures lacked the personal touch reps wanted, and there was no way to switch between a personal and team signature. These gaps made outbound email feel impersonal and unpredictable, and made it harder for admins to maintain a consistent brand at scale.

 

How does it work?

  1. Visibility: When composing a one-to-one email, a team signature icon now appears in the composer before you send, which you can see if you hover. With this, you always know what's going out, consistent across CRM, Inbox, and Help Desk.
  2. Personalization: Admins can build richer team signatures using personalization tokens like profile picture, job title, phone number, and meeting link.
  3. Flexibility: You can switch between your personal and team signature directly in the composer, with admins retaining control over the team signature configuration
